Procedure for Social Events
The Committee of Management request the cooperation of all Members by asking that they abide by the following procedures, making them and so our events, a genuine success.
Purchasing Event Tickets
- Where purchase of tickets for an event is required, this will be notified well in advance through relevant posters or other communication with Members. We would expect most sizeable events to be ticketed.
- Members will always be able to purchase tickets in advance of an event.
- Members will also be able to reserve a place or places at any event in advance by notifying bar staff, without the need to purchase tickets at that time.
- Where a Member has reserved a place or places at an event but subsequently fails to make payment and collect their tickets in advance or on the night of the event, or to provide suitable cancellation notice at least 48 hours in advance of the date of the event, then the club will issue an invoice for the cost of the number of places reserved.
- If, within 24 hours of an event, a Member has reserved a place at an event but not yet provided the required payment to the bar, staff will on a best efforts basis, look to provide a courtesy call to the Member (or Party lead name) to remind them of the event in order to avoid the possibility of their being invoiced for tickets to an event which they have perhaps forgotten about.
Organising Tables For Larger Parties
We would like to do all that we can to support Members when organising tables for themselves and friends at events. To help staff make the necessary arrangements please advise in advance if you intend to join a particular party. It may be helpful if Members agreed a single party name in advance to help with these arrangements. If at all possible, please advise any additions or changes at least 24 hours in advance of the date of the event to assist staff.
Paying for Drinks
I would also like to make it easy for Members to run a bar tab at events etc., and to easily confirm details of orders/running total during or at the end of an event. To help do this the bar staff will adopt the following simple procedures.
- All drinks will be recorded against your nominated Member's swipe card.
- A receipt will be given at the time of each purchase, a copy of which the bar staff will ask the Member or guest to sign.
- Please ensure that your party’s outstanding bills are paid for by the end of the event.
- Where a bar bill is not settled at the end of the event this will be invoiced to the Member responsible for the party. Unfortunately, the normal discount available when settled via a Members’ swipe card will not be available in these circumstances and the bill will be invoiced in full.
